Calendar Data: Read-only access to meeting titles, times, participants, and conference links.
Meeting Content: Video recordings of your meetings, audio tracks, and the resulting text transcriptions.
User Data: Your name and email address provided during registration.

2. How We Use Your Data

We process your data for the following purposes:

Meeting Analysis: We use the Gemini 3.1 Flash Lite language model to analyze meeting content and generate summaries and action items.
Service Delivery: To allow our virtual assistant to join your scheduled meetings at the correct time.
Product Improvement: To troubleshoot issues and improve the accuracy of our transcriptions.

2.1 Google API Services User Data Policy Compliance

Voithos AI's use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements. Our application strictly uses Google Workspace data to enable core product functionality, such as calendar synchronization and meeting management. We do not share, sell, or utilize this data for advertising or any other unauthorized purposes.

3. Data Storage and Security

Location: All video files and processed data are stored in a secure cloud environment in Warsaw, Poland.
Security Measures: We use industry-standard encryption to protect your data both in transit and at rest.

4. Data Retention and Deletion

Video Recordings: Automatically deleted after 365 days.
Transcriptions & Summaries: Kept indefinitely to maintain your meeting history.
User Rights: You can delete any recording or your entire account at any time. Upon account deletion, all associated personal data is permanently removed from our active databases.

5. Sharing of Information

We do not sell your personal data to third parties. Data is shared with service providers only as necessary to provide the Service (e.g., cloud storage and AI processing providers). These providers are contractually obligated to protect your data.

We may update this Privacy Policy from time to time. We will notify you of any significant changes by posting the new policy on this page and updating the "Last Updated" date.
